The updated software tool GL ShipManager 2.0 improves the efficiency of shipping operations and ensures
compliance with industry requirements as well as international regulations. Simplifying and automating the administrative workload for a ship is the overarching goal of GL ShipManager 2.0. With the Windows
Vista compatible GL ShipManager 2.0, there is a new module structure.
All essential processes of administrative and operational ship management are represented in GL ShipManager's easy-to-use modules: GL ShipManager Basic System, Technical Management, Ship and Voyage
Management, Procurement. New are the modules Reporting and Analysing, Compliance Management. "Ship operators and managers have expressed the need for a more workflow-orientated software tool in order to overcome the increasing administrative burdens of complying with industry requirements and regulations", commented Heiko Hofmann, Managing Director of "Ms Logistik Systeme GmbH" (MsLS), the GL-Group-company
which invented the ShipManager 2.0.
Compliance Management reduces administrative work
Based on the results of a focus group with three of Germany's largest shipping companies and Germanischer Lloyd experts, Compliance Management has been designed as a best practice solution for recording, analyzing,
acting upon and documenting incidents as well as occurrences.
The Incident Management module is a main component of the Compliance Management group and facilitates the implementation of a company's safety and quality management systems. The module can specify the type
of report with default categories: accident, complaint, deficiency, hazard, improvement, incident, near miss, non-conformity and risk.
Provided with this information, Incident Management delegates and manages tasks involved in carrying out corrective actions. It has an action plan, which also includes preventive action.
In their day-to-day operations, ship operators and managers must take notice of lots of rules and regulations, e.g. those defined by ISM Code(International Safety Management Code), ISO, SOLAS, classification
societies, vetting inspections by oil companies, Port State Control and Flag State Implementation. The associated administrative work involved in following such requirements can often be burdensome. Fulfilling such
obligations is now easier and more cost-efficient: The Compliance Management module covers all relevant requirements of the ISM Code which can be supported by an IT system. While, as features of Compliance
Management, documentation management enables easy updating and dissemination of safety and quality manuals, certificate management configures crew profiles for various ship types in compliance with
GL ShipManager 2.0 is dynamic and not static: It is workflow orientated - it is not only document management. With Compliance Management it doesn't have to be communicated via an external email-system like
Outlook. It has a messaging function, which is integrated in the mask of the screen. Furthermore, the messaging function has a ranking list, so everybody of the persons involved can be contacted.
More business intelligence with the Reporting and Analyzing module
Access to key business data is essential for timely and effective decision making. The Reporting and Analyzing module is integrated with all other modules of the system to collect data on various operational
processes and generate reports. GL ShipManager 2.0 provides a tool to analyze, evaluate the efficiency and optimize costs as well as processes. Reporting and Analyzing offers an array of standard reports
combined with freely definable reports and the flexibility of ad-hoc reporting. The user is able to create its own reports and analyze key figures on demand.
In order to allow its customers to implement GL ShipManager according to their own financial possibilities, MsLS sells GL ShipManager 2.0 under a new license model. In addition to purchasing the software licenses, a
leasing option with the same software will be available. GL ShipManager 2.0 extends the advancements made in GL ShipManager version 1.1, which was released in mid 2007. With GL ShipManager 2.0, the data handling is
more efficient and there is an expansion of interfaces.
Enhanced transfer functions and Order Management
There is an increased efficiency and security of data transfer, now attachments of any kind can be send quickly and safely. In addition, there is an increased configurability of transfer data, which provides a
higher degree of protection. The enhanced Order Management has a function originally designed for a cruise shipping company. Namely the integration of the Redelivery function as a standard component. It
enables efficient processing of transactions in which goods or equipment are sent back from ship to land, e.g. in the case of incorrect delivery, damaged goods, quality defect or service.
Each module of GL ShipManager on a stand-alone basis offers benefits to streamline workflow and can also be purchased individually. Implemented as a complete suite, GL ShipManager is an integrated information system
that improves and automates processes, resulting in a cost saving potential, a reduction in workload and increased efficiency.
